How to reduce no-shows at your salon

An empty chair you planned for is time and money you cannot get back. Most salons will never get no-shows to zero, but a few simple habits make a real difference. Here is what tends to work.

1. Send reminders, and send them at the right time

Most missed appointments are forgotten, not deliberate. An automatic reminder fixes a lot of that. Two reminders often work well: one a day or two before, so clients can still rearrange, and one a couple of hours before, as a nudge on the day.

Keep text reminders short and include the date, time, your address and a way to cancel. A client who can cancel easily will usually do it rather than simply not turn up, which gives you a chance to fill the gap.

2. Ask for a deposit on the bookings that matter

You do not need a deposit on every service. Many salons ask for one on long or high-value treatments, first visits and peak times, where a no-show hurts most. A fixed amount, a percentage or the full price can all work; choose what feels fair for the treatment.

Make sure the deposit is paid when the client books, not chased afterwards, and that the rules about refunds are clear before they pay.

3. Write a clear cancellation policy

Say how much notice you need, what happens to a deposit if someone cancels in time, and what happens if they cancel late or do not arrive. Show it before the client confirms their booking and in their confirmation. Our guide to writing a deposit and cancellation policy goes into more detail.

4. Make it easy to cancel

It sounds backwards, but an easy cancel button means you hear about cancellations sooner. A link in the confirmation and reminder lets clients cancel in seconds, and the time becomes available for someone else.

5. Rebook before clients leave

Clients who book their next appointment at the desk are more committed to it than clients who “will call to book”. Rebooking at checkout also smooths out your diary.

6. Keep a note of repeat no-shows

Record no-shows on the client’s record. For someone who misses appointments repeatedly, it is reasonable to ask for a deposit on every future booking, or to ask them to book by phone.

7. Measure it

Track your no-show and late-cancellation rate each month, and the value of the appointments lost. Once you have a baseline, you can see whether reminders, deposits or a new policy are making a difference.
