Changing booking system feels daunting, but with a plan it can be done in an evening or two. This checklist works whichever system you are moving from or to.
Before you switch
- Pick a quiet day to switch over, such as a Sunday or a closed day.
- Export your clients from your old system as a CSV spreadsheet. Check what else you can export, such as future bookings, notes or sales history.
- Write down your services, times and prices, and who does what.
- Check your contract with your old provider for notice periods.
- Tell your team when the change is happening and give them a chance to try the new system.
Set up the new system
- Add your opening hours, services and team.
- Import your clients and check a few records look right.
- Re-enter your future bookings. If there are a lot, start with the next few weeks.
- Connect payments and text messages, and send yourself a test booking.
- Write your booking terms and cancellation policy.
Switch over
- Turn off online booking on your old system so nobody books in two places.
- Add the new booking page to your website and update links on social media and Google.
- Check the next week’s diary against the old system one last time.
After the switch
- Keep your old export somewhere safe in case you need to look something up.
- Look out for duplicate client records and merge them.
- Ask your team what is not working yet while it is fresh.
- Cancel your old subscription once you are sure everything has moved.
